How to Prepare for a Conversation With a Ministry Staffing Company (A Guide for Ministry Job Candidates)
Looking for a new ministry position? You’ve come to the right place! I’m one of the Co-Founders of Froot Group Staffing and I talk to candidates every day who are looking for their next church home. From a staffing company’s perspective, few things shape a search more than the first conversation with a candidate. That initial call sets the tone, builds trust, and helps us determine whether there’s genuine alignment between you and the church I’m talking to you about.
If you’re considering working with a ministry staffing company like Froot Group Staffing, preparation matters more than you may realize. Here’s how to show up well and avoid some of the most common missteps I see.
Research the Church Before You Talk to a Staffing Company
Before you ever get on the phone with a staffing company, you should have done thorough research on the church in question. At a minimum, that includes:
- Reviewing the church’s website and mission
- Understanding their leadership structure
- Familiarizing yourself with their ministries and community presence
Even more important, you should watch at least one livestream or recorded service. This gives you insight into the preaching style, worship culture, and overall feel of the church. Staffing conversations quickly reveal when a candidate hasn’t taken this step, and it’s one of the fastest ways to lose momentum in a call. I can connect with a candidate so well but when I hear them struggling with finding the church’s site on a call, I can tell that they’ve done little to no research and it’s a red flag for me.
Another thing, take time to understand the church’s theology and doctrinal positions. Alignment here is critical. If you haven’t explored what the church believes, it signals a lack of seriousness and discernment.
Come Prepared and Confident, Not Scrambling
Like I just mentioned, one of the clearest red flags during a call is a candidate who is scrambling to look up information while we’re talking. Pauses filled with typing, vague answers, or obvious searching tell us the research wasn’t done beforehand.
Staffing conversations are not meant to be pop quizzes, but they do assume preparation. You don’t need to have every detail memorized, but you should be able to speak confidently about why the church interests you and how you see yourself fitting within their context.
Preparation communicates respect for the process and for the church.
Be Honest and Transparent From the Very Beginning
Transparency is not optional in a healthy staffing process, it’s essential! Any history, challenges, or complexities in your background should be shared honestly and early.
When information surfaces late in the process, it often leads to backpedaling, damaged trust, or stalled searches. Being upfront from the beginning allows a staffing company to advocate for you more effectively and helps prevent surprises down the road.
Honesty doesn’t disqualify candidates, but a lack of transparency often does.
Respect the Church Staffing Process and Communication Flow
If a church is working with a staffing company, there is a reason. That company serves as the intermediary to guide communication, manage expectations, and protect the relationship on both sides.
It’s important not to go around the staffing company by contacting the church directly. This includes emails, social media messages, or informal outreach. Doing so can actually hurt your candidacy rather than help it.
If you are a local candidate, resist the urge to visit the church and tell a pastor you’re applying for the position. Pastors are often approached on Sundays while they’re focused on leading and shepherding their congregation. These interactions can feel intrusive and may work against you, especially when the pastor doesn’t yet know your full story.
A staffing company is positioned to present your background, strengths, and story in a thoughtful way that builds excitement rather than interruption.
Remember, the Staffing Company Is Advocating for You
A good staffing company exists to help, not hinder. When candidates trust the process, communicate clearly, and partner well, it creates space for advocacy, clarity, and stronger matches between churches and leaders.
Your preparation and professionalism directly impact how effectively a staffing company can champion you.
